This Privacy Policy describes how your personal information is collected, used, and shared when you visit or sign up and make a purchase from https://www.1099smartfile.com (the “Site” or “site”).

HOW WE COLLECT PERSONAL INFORMATION

When we talk about “Personal Information” in this Privacy Policy, we are talking about Personally Identifiable information, Device Information and Payment Information.

Personally Identifiable Information

When you sign up to use our service, we ask you to provide personally identifiable information about you, your clients or contractors and anyone you sign up on 1099smartfile.com. This information includes your or your company's name, email address, street address, phone number and your business tax identification number, and your contractors’ names, tax identification numbers, street and email addresses. We also ask you to provide your email address and telephone (optional) in our Contact Us form.

Device Information

In addition to the personal information, when you visit our Site, we also collect certain information about your device automatically, including information about your web browser, IP address, time zone, and some of the cookies that are installed on your device. Additionally, as you browse the Site, we collect information about the individual web pages or products that you view, what websites or search terms referred you to the Site, and information about how you interact with the Site. We refer to this automatically-collected information as “Device Information.”

We collect Device Information using the following technologies:

    - “Cookies” are elements of data that a web site can send to your browser, which may then store them on your system. You can set your browser to notify you when you receive cookies, giving you the chance to decide whether to accept them. If you do not accept cookies from our site, you will not be able to use our site. Usage of cookies is in no way linked to any personally identifiable information while on our site.

    - “Log files” track actions occurring on the Site, and collect data including your IP address, browser type, Internet service provider, referring/exit pages, and date/time stamps.

    - “Web beacons,” “tags,” and “pixels” are electronic files used to record information about how you browse the Site.

    - “ReCaptcha” uses the cookies on your computer for bot detection.

    - “Google Analytics” for tracking and ad targeting.

Payment Information

When you make a purchase through the Site, we do not collect or store any credit card numbers or billing related information in our system. Users are directed to a third party payment processor (Square) or wallet services (Apple) and the collection & storage of the payment information is governed by their respective Privacy Policies.

HOW WE MAY USE YOUR PERSONAL INFORMATION

We use your personal information to provide you with the services you request. The information on the Contact Us form is used to contact you regarding your support request.

We may use your email addresses and street addresses to provide you with email alerts, and other offers and notices concerning our products or services, or events or news, that may be of interest to you, including targeted offers and ads through our website, third-party sites, and via email or text message (with your consent, where required by law).  For example, we may also use the information we collect to help target valuable marketing and advertising offers. You will have an opportunity to "opt out" of such offers in the future, if you so choose, by following the instructions set forth in the offer that we send you.

We may match user information with third party data to help us better understand our customers.

 

We use the Device Information that we collect to help us screen for potential risk and fraud (in particular, your IP address), and more generally to improve and optimize our Site (for example, by generating analytics about how our customers browse and interact with the Site, and to assess the success of our marketing and advertising campaigns).

HOW WE MAY SHARE YOUR PERSONAL INFORMATION

1099SmartFile is partnered with a third party email provider and a postal mail provider to provide postal mail services when requested by our clients. Client data is transferred to this provider via secure protocols. The postal mail provider then prints and mails the requested forms. 1099SmartFile and the email/mail vendors have taken precautions to ensure security of sensitive information contained on the forms being mailed, including using encryption for file transfer, deleting files at the mail vendor once they have been printed and tracking of the printing and mailing process.

We share your personal information you enter into our site with third parties as needed to maintain, support and operate the Site and to perform Site-related services (e.g., maintenance services, database management, web analytics and improvement of the Site's features) and to assist us in analyzing how our Site is used. These third parties have access to your personal information and the information you've entered into our site only to perform these tasks on our behalf and the data at that point is governed by their privacy policies. We may also provide your personal information, but not information regarding your Payers or Recipients, to our business partners or other trusted entities for the purpose of providing you with information we believe will be of interest to you.

We may share aggregated information that does not include personal information and we may otherwise disclose non-identifying information and log data with third parties for industry analysis, demographic profiling and other purposes. Any such aggregated information will not contain your personal information nor personal information from your Payers or Recipients.

1099SmartFile partners with third parties such as Intuit, and Xero to provide certain data import features to our users but doesn’t  store the Intuit’s or Xero’s credentials in our system. The integration access and authorization tokens are not given to any other third parties. The imported data is governed by our privacy policy.

Finally, we may also share your Personal Information to comply with applicable laws and regulations, to respond to a subpoena, search warrant or other lawful request for information we receive, or to otherwise protect our rights.

BEHAVIORAL ADVERTISING

Please note that we do not alter our Site’s data collection and use practices when we see a Do Not Track signal from your browser.

If you click on the external link, you will be directed to that party's site and we may track whether these links have been followed to improve the quality of the Site and 1099SmartFile's partnership activities. The fact that we link to another site is not an endorsement, authorization or representation of our affiliation with that third party, nor is it an endorsement of their privacy or information security policies or practices. We do not exercise control over third party sites. These other sites may place their own cookies or other files on your computer, collect data or solicit personal information from you. This privacy policy addresses the use and disclosure of information that we collect from you through this Site. Other sites follow different rules regarding the use or disclosure of the personal information you submit to them. DATA RETENTION AND ACCESS

As permitted by applicable law and regulations, we will retain your information as long as necessary to serve you, typically five years.  When you stop using our service, we may still continue to communicate with you about our Services, give you important business updates that may affect you, and let you know about our products and services that may interest you, unless you have opted out of receiving marketing communications.  We may also continue to use some of your information for business purposes and to improve our offerings or in some cases to develop new ones.  We will retain and use your information as required by applicable regulations and 1099SmartFile's records and information management policies to comply with our legal and reporting obligations, resolve disputes, enforce our agreements, complete any outstanding transactions and for the detection and prevention of fraud.

MINORS

The Site is not intended for individuals under the age of 18. If a parent comes to know that his or her child has provided us with personal information without parental consent, the parent(s) should contact us at support@t1099smartfile.com, and we will delete such information from our files.

CHANGES

We reserve the right  to update this privacy policy at any time in order to reflect, for example, changes to our practices or for other operational, legal or regulatory reasons. If we decide to change our privacy policy, we will make sure that updated privacy policy is available on our site. We also recommend you to review it frequently.
